Disposals route to the right approver based on value and category. Approval is logged with timestamp, user, and reason. High-value disposals can require multi-level approval before the journal is prepared.

Locked once approved
Once a disposal is approved and journaled, it is locked. Reversal is possible, but only through a controlled reversal workflow with its own approval and its own journal entry. The original disposal remains in the record. Nothing disappears.

Clean disposal journals
Every approved disposal generates a journal that retires the asset cost, retires accumulated depreciation, records proceeds, and recognises gain or loss on disposal. The journal is released as an import-ready file with full line-by-line detail, ready
for audit.

Journals export cleanly for import into any ERP. During implementation the export is scoped to your chart of accounts so the file lands in the GL without manual re-mapping.

Used case: An independent school year-end

The scenario

An independent school with three campuses, approximately 4,200 assets on the register, and an audit committee that takes fixed assets seriously. The school uses Sage for its general ledger. Depreciation is calculated in an Excel schedule maintained by the bursar and posted into Sage as a manual journal each month. Disposals are handled by the facilities manager, approved over email, and journaled by the bursar when she has time.
Depreciation did not tie to the GL at year-end
The year-end schedule showed a R680,000 difference between the register's accumulated depreciation and the GL's accumulated depreciation. The bursar spent eleven days reconciling, and the
auditor still flagged a management letter point.
